Background:

GasFlo Products, Inc. is a manufacturer of cylinder connection components, valves, fittings and custom assemblies utilized in the packaging, transport and process applications of compressed gases and chemicals.

Challenge(s):

GasFlo has several clients with centralized accounts payable (A/P) departments that service satellite offices around the world. When an order gets placed, one copy of the invoice must go to the satellite office that placed the order and another copy must go to the A/P department at the client’s headquarter office. GasFlo needed a solution that could manage the email addresses of all their client A/P contacts, would generate and send a PDF copy of an invoice to the correct satellite office, and would automatically send one email daily with all invoices relevant to that company to a client’s headquarter office, regardless of how many orders were placed by satellite offices that day.

Approach:

To enable GasFlo to accommodate their customers’ needs, Accounteks wrote a custom web-based application for invoicing tied to GasFlo’s accounting system that automatically creates an invoice in PDF form, pulls the proper email address of their customer’s A/P contact, sends only one email daily to that A/P contact with all invoices for orders placed that day, and sends copies of the invoices to each satellite office(s) that placed an order.

Result:

Not only was Accounteks able to satisfy GasFlo’s customers’ needs, but developing an integrated approach allowed GasFlo to streamline their accounting system and made their overall operation run more efficiently.
